Online Bidding: Texting Bidders

Online Bidding will automatically send Welcome and Outbid text messages to your bidders, depending on your Online Bidding Settings. You also have the ability to text bidders enabled for Online Bidding directly from the Online Bidding Dashboard.

How to Text Bidders:

  1. From the Project Home, click Online Bidding Dashboard under the Online Bidding header.
  2. Click Text under the Send Message area.
  3. Compose your texts in the box provided. 
    • Use the tag [u] to include the Bidder’s personalized bidding URL.
    • Limited to 120 characters per text message.
  1. Select the recipients you wish to send the text to (defaults to All Bidders).
    • All Bidders: Texts any bidder who has self-registered or who has been checked in through Go Time.
    • Winning Bidders: Texts any bidder who has won or is winning a package in Online Bidding. This will not include bidders who only won a multiple-sale package.

Note: Guests are not automatically notified if they have a won a package in the Silent Auction. See below for an example of a text message to send to Winning Bidders. 

  • Non-winning Bidders: Texts any bidder who does not have any winning bids in Online Bidding
  1. Click the Send button. 

How to Save Text Messages:

  1. Draft your text message using steps 1-4 above.
  2. When you are finished, click the Save Current button. txt_bid_3.jpg
    • This will save your text with the first few words as the name and a timestamp of when it was saved.
  3. When you are ready to send the text, click the link on the right and click the Send button.
    • Note: You can also delete a saved Text using the icon. 

Best Practices:

  • We recommend sending 4 or less text messages during an event, as frequent messages can distract your guests from bidding.
  • Keep in mind that it may take 30 minutes for the texts to be received by every guest. For this reason, do not use ambiguous timeframes or details in your texts, like: “Bidding closes in 15 minutes”. Instead be specific and say “Bidding closes at 9:00 PM”. A great way to make time sensitive announcements during the event is to work with your Auctioneer or Emcee.
  • Compose your texts ahead of time and save them under the Saved Text Messages area on the Send Text Message page. You may not send them all at once, but having your texts written ahead of time will save you some time during the event. Keep in mind that each text can only contain 120 characters (this includes spaces).
  • Prior to sending the text message to All Bidders, you may want to send a preview to yourself, another staff member or volunteer. Keep in mind that the tags do not work in the preview messages.

Re-send Welcome Text:

From the Go Time Bid Assistant area, you can also resend a Welcome Text to any bidder in your Registered Bidders.

  1. In Go Time, click Bid Assistant.
  2. Enter the bidder’s name or bid number, and click the Re-send Welcome Message button below their name.
