Online Bidding: Health Check

Prior to your event, Greater Giving recommends doing a Health Check for your Online Bidding site. This health check ensures that your site is set up according to our best practice recommendations, so that you can have your most successful event. Below, we cover the different areas that are critical to a successful Online Bidding Event.


Section Settings:

Sections determine which Packages appear on Online Bidding, and are therefore critical to the overall health of the Event.

  1. From the Project Home, click Project Settings under the Project Tasks header.
  2. Click the Item & Package Sections tab to view your sections.
  3. Ensure that the sections you wish to appear on Online Bidding have an Open Time, Close Time (or are marked to Manually Closed), and have an Online Bidding Type.


Packages Enabled:

Since you are selling Packages on Online Bidding, this is another critical factor to consider when setting up your Online Bidding Event.

  1. From the Project Home, click View/Edit Packages under the Packages header.
    • Note: We recommend clicking the Package Type drop down, and selecting Auction and Donation as a filter before proceeding to the next step.
  2. Click Reports & Exports.
  3. Click Run on Grid Selection for the HLTH-01: Package Health report.


This report will list all the details about your package, and let you know with a Pink cell indicator if data is missing. Double check that all of your Packages have the correct Number, Name, Section, Class, Bidding Parameters, Descriptions, and Images. By necessity, these options are fundamental to a successful Online Bidding event.

Online Bidding Settings:

Your Online Bidding Settings have a number of options you will want to make sure are enabled prior to your event night.

  1. From the Project Home, click Online Bidding Settings under the Online Bidding header.
  2. Click Edit.
  3. Scroll down and ensure the following has been set up:
    • Project Display Name – This is what display’s on Online Bidding as your Project Name. We recommend a Project Display Name of less than 40 characters.
    • Outbid Notices/ Welcome Messages – These checkboxes determine the communication to your guests.

Donations Enabled (optional):

Donations are a great way to promote giving at your event, and provide guests an alternative way to Support your organization.

  1. From the Project Home, click Online Bidding Settings under the Online Bidding header.
  2. Click Edit.
  3. Scroll down and ensure your Appeal Donations area has been enabled.
    • Make sure Appeal Only Event is NOT checked, as this will remove bidding capabilities from your site.

Admissions Allocated (if doing a physical Event):

Having as many admissions allocated as possible prior to Check In for your event will lead to a smoother experience for your Bidders, and is highly recommended as a part of the Health Check.

  1. From the Project Home, look at the Admissions Purchased and Admissions Allocated number at the bottom of the Project Summary.SelfAudit04.jpg

Assign Bid Numbers:

Once you have the majority of your Admissions Allocated, we recommend pre-assigning Bidder numbers to those Supporters.

  1. From the Project Home, click View/Edit Supporters under the Supporters header.
  2. Click the Saved Search drop down menu, and select Bidders with Allocated Admissions.
  3. Click Assign/Clear Bidder Numbers in the toolbar.SelfAudit05.jpg
